SimpleInvoice vs Xero

Free local SimpleInvoice against Xero cloud accounting: invoicing features, bank feeds, payments, layout control, data location and cost.

SimpleInvoice

A free, single-document invoicing tool that runs entirely in your browser: no account, data kept locally, block-based templates, PDF and JSON export, and share links.

Xero

Cloud accounting software for small businesses: a hosted account on a paid subscription with invoicing, bank feeds, expenses, reporting, an app marketplace and direct access for your accountant.

Xero is accounting software first. Its invoicing is good and well integrated, but the reason to pay for Xero is the ledger behind it: bank feeds, reconciliation, reports, tax returns in some regions, and an accountant who can log in and work in your books. SimpleInvoice has no ledger. It is a free, browser-based editor that produces one invoice and does not track its status.

The comparison below is for a freelancer or contractor wondering whether they need the accounting platform or just the invoice. Product facts on this page were checked against the vendor's own product pages in September 2026. Details change — verify before deciding.

The ledger is the point

Every feature Xero is known for depends on the ledger. Bank feeds bring transactions in; reconciliation matches them to invoices and bills; reports and tax figures come out. An invoice in Xero is a receivable that the rest of the system is waiting to settle. If that is the system you need — or your accountant asks for it — the invoicing is a bonus. If your books are handled elsewhere, Xero's invoicing is a small part of a subscription mostly spent on things you will not use. How to invoice as a freelancer is a useful check on how much bookkeeping a one-person business actually needs.

Invoicing inside Xero

Xero emails invoices, shows when they have been opened, sends reminders, runs repeating invoices and lets clients pay through connected card or direct-debit providers. Payments then reconcile against the bank feed. Multiple users can work in the same organisation, and the mobile apps mean invoices can be raised on site. These are real advantages for a business with staff or steady recurring billing. For a freelancer raising a few invoices a month, each of them is a convenience rather than a necessity — and each depends on a server and an account.

Layout control

Xero's standard invoice branding covers logo, colours and a few options; deeper layout changes are made by editing document templates outside the app and uploading them, which is powerful but fiddly. SimpleInvoice keeps layout inside the tool: blocks are added, ordered and configured on screen, and ten presets give starting points. Currency and date formatting per invoice follow an ISO code and locale. Both export a clean PDF; SimpleInvoice's is produced by the browser with explicit page breaks and a repeated table header. What to include on an invoice lists the elements any layout must carry.

Who should pay for Xero

Anyone who needs accounts kept properly and continuously: a business with employees, VAT or sales tax returns to file from the system, an accountant who works in Xero, or enough transactions that reconciling by hand is unrealistic. The subscription is the price of not thinking about bookkeeping. A freelancer whose accountant works from a folder of PDFs and bank statements once a year gets much less from it.

Start free, move when the books demand it

SimpleInvoice costs nothing and needs no sign-up, so it is a reasonable place to start while the business is small. When bank feeds and reconciliation would save more time than they cost, move to Xero: enter your clients, set the next invoice number to continue the sequence, and keep the JSON export and PDFs as the archive. Free vs paid invoicing software covers the general shape of that decision.

When Xero is the better choice

  • You need bank feeds, reconciliation and reports — proper accounts, not just invoices.
  • Your accountant works in Xero and wants direct access to your organisation.
  • Several people raise invoices or record payments in the same business.
  • You want repeating invoices, reminders and online payment handled automatically.
  • You file tax returns from your accounting system.

The verdict

Xero is an accounting platform with strong invoicing attached; if you need the platform, use its invoicing. SimpleInvoice makes invoices with no accounting attached; if you need invoices, it is faster, free, private and gives you more control over the document. The choice is about bookkeeping, not invoicing — decide how your books are kept and the tool follows.

Questions

Can SimpleInvoice do my accounts?

No. It produces one invoice at a time and exports PDF and JSON. There is no ledger, bank feed or reporting. Xero is built around exactly those.

Can I get SimpleInvoice data into Xero?

Not automatically. The JSON export is a complete record you or your bookkeeper can work from, and the PDFs are the sent documents. Continue the number sequence in Xero when you move.

Can more than one person use SimpleInvoice?

Only by sharing a device or passing share links back and forth; there is no multi-user mode. Xero supports multiple users in one organisation with roles.

One invoice is enough to tell whether this fits.
