Lessons as lines

One line per lesson with the date in the description, or one line for the month with the count as quantity.

Tutors

A quick monthly routine

Open the editor, update the current document's number, dates and lesson lines, then export and send it.

A layout parents can read

The minimal template shows who, what, how much and how to pay — nothing else. Hide blocks you do not need.

Client details at hand

Type the student or parent into the Bill To block; keep payment tracking in your own records.

What gets in the way

Tutors and coaches bill many small amounts to private clients who are not accounts departments — parents, students, individuals — and who want a clear, short document rather than a corporate form. The invoice must say what lessons were given, when, and how to pay, in a format that is easy to read on a phone.

SimpleInvoice's simple template keeps only the essentials, and monthly invoicing is a matter of opening last month's invoice, updating the dates and number, and exporting the new PDF. Everything runs in your browser; there is no account to manage.

  • Many small invoices

Ten students a month means ten invoices a month. Each has to be quick to produce and easy to file.

  • Private clients, not companies

Parents want to see the lesson dates and the total, not a PO field and a tax breakdown they do not need.

  • Packages and prepayment

A block of ten lessons paid in advance, drawn down over weeks, needs a clear way to show what is used and what remains.

Invoicing tips for tutors

Keep it short, regular and easy to pay.

  • Invoice on the same day each month, in advance for packages and in arrears for ad-hoc lessons.
  • List lesson dates on the invoice so there is no dispute over attendance.
  • State your cancellation policy in the terms block once and let it print on every invoice.
  • Give one payment method that is easy for individuals, and put the reference to quote in the notes.
  • Use one continuous number sequence for all students — why numbering matters.
  • Record payments and due dates in your own list so you know whom to remind.

Questions tutors ask

How do I invoice a package of lessons?

Invoice the package as one line with quantity ten and the per-lesson rate, paid in advance. Track usage in the notes or in your own schedule; the invoice records the sale.

Can I address the invoice to a parent but name the student?

Yes. The parent is the client in Bill To; put the student's name in the line description or in the notes.

Do I need to add tax?

Only if you are registered for VAT, GST or sales tax where you operate; education services are treated differently in different places. Ask an accountant — see tax basics.
