SimpleInvoice for contractors

SimpleInvoice for contractors, with unit-based lines, PO numbers, payment terms, a signature line and multi-page PDFs. Runs in your browser, no account.

Contractors

Units and decimal quantities

Bill 12.5 hours, 3 days or 40 m² per line. Quantity precision is automatic and the unit label is per line.

Contractors

PO, reference and place of issue

The details block shows the fields procurement needs, and every client can carry a supplier number or cost centre that prints in Bill To.

Contractors

Terms and signature on the document

Your payment conditions print in the terms block; a signature line with date gives the client a place to accept the work.

Contractors

Clean multi-page PDFs

Long tables continue on the next page with the header repeated; the footer and page numbers appear on every page.

What gets in the way

Contractor invoices are documents of record: they bill against a purchase order, in units the contract defines, with terms the client's procurement team will check and sometimes a signature for acceptance. They also run long — a month of site visits or a bill of materials does not fit on one page.

SimpleInvoice's contractor template is built for that: a unit column, PO and reference fields, a terms block, a signature line and a footer with page numbers on every page. The whole thing runs in your browser and exports a PDF with the correct paper size.

  • Invoices rejected for missing references

Procurement systems match invoices to purchase orders. A missing PO number or a description that does not match the order goes back to you unpaid.

  • Long item lists that paginate badly

Spreadsheets and word processors split tables mid-row and lose the header on page two. The client is left counting lines.

  • Terms that live in an email

Retention, stage payments and late-payment conditions agreed by email are hard to enforce if they are not on the invoice.

  • Call-out and diagnosis — 1.5 h

Invoicing tips for contractors

Contract work is paid through processes. The invoice's job is to pass through them the first time.

  • Put the PO number, the site or job reference and the period on every invoice.
  • Use the units and rates the contract uses so lines can be checked against it.
  • For stage payments, one invoice per stage; show any retention as a separate line or note.
  • Record deposits and previous stage payments as amount paid on the final invoice.
  • State your due period and late-payment terms in the terms block — wording that holds up.
  • Keep every issued PDF; disputes on contract work surface months later.

Questions contractors ask

Can I show a purchase order number?

Yes. The details block has a PO number field and a free reference field; both print in the header area where accounts payable look for them.

Can the client sign the invoice?

The signature block prints a signature line with an optional date. The client signs the printed PDF or a paper copy; the app does not collect electronic signatures.

How do I show retention?

Add a line with a negative amount labelled as retention, or describe it in the notes and terms. The totals block shows the resulting balance due.
