SimpleInvoice for consultants

SimpleInvoice for consultants — retainers, milestones and day rates, with per-client currency formatting, deposits and brand colours. No account.

Consultants

Scope on the line

Each item has a details row: what the milestone included, which days a workshop ran, what the retainer covered this month.

Consultants

Per-invoice currency and locale

Set EUR with German separators for one client and USD for another; dates and labels follow the client's conventions.

Consultants

Amount paid and balance due

Enter the deposit or retainer already received; the totals block shows total, paid and balance due.

Your brand, one setting

The accent colour drives the header band, table header and emphasised total; your logo sits in the header at the size you choose.

What gets in the way

Consulting invoices have few lines and a lot riding on each one: a retainer month, a milestone, a workshop day. The description has to justify the amount to someone who was not in the room, and the document has to look as considered as the advice.

SimpleInvoice gives each line a secondary details row for scope, shows deposits and balances on the same page, formats amounts for the client's country and lets you carry your brand colour through the consulting template's header band.

  • Justifying a single large line

"Consulting services — €8,000" invites questions. The deliverable, period and scope need to be on the invoice without turning it into a report.

  • Cross-border clients

Different currencies, number formats and tax treatments per client mean a template per client if the tool cannot format per invoice.

  • Deposits and phased payments

A retainer paid up front and drawn down, or a milestone plan, is hard to show clearly in a fixed template.

Invoicing tips for consultants

Consulting clients pay for judgement; the invoice should read as if the same judgement went into it.

  • Invoice retainers in advance on a fixed day; use last month's exported copy as a reference and change the period.
  • Tie milestone invoices to the deliverable named in the proposal, word for word.
  • Agree the currency and who bears transfer fees before the engagement starts.
  • Format amounts and dates for the client's locale — invoicing international clients explains the choices.
  • Show a deposit as amount paid rather than as a negative line, so the total reflects the full engagement value.
  • Confirm cross-border tax treatment with your accountant once per client type and keep the wording for the invoice notes.

Questions consultants ask

How do I invoice a monthly retainer?

Keep the previous PDF or JSON as a reference. Each month, update the editor's number, date, period and lines, then export and send the current document.

Can I invoice different clients in different currencies?

Yes. Currency, number formatting, date format and labels are set per invoice, so each client gets numbers and dates written their way.

How do I bill expenses?

Add them as separate lines, mark them non-taxable if that is how they are treated where you are, and describe them in the details row. Attach receipts to the email if the client requires them.
